Escrow is a secure holding account where a security deposit is kept until the conditions of the tenancy are satisfied. On HeavenLease, escrow protects deposits between tenants and owners so neither side bears the risk of misuse.
Instead of a tenant handing a deposit directly to an owner, the funds are held safely and independently. They are released only when the agreed conditions are met, and every step leaves a clear, traceable record.
Escrow protects both sides: it gives the tenant confidence that the deposit is safe, and it gives the owner certainty that real, verified funds are committed to the tenancy.
When a tenancy is agreed, the tenant pays the security deposit into a regulated escrow account rather than to the owner directly. The funds are clearly linked to that specific tenancy.
At move-in, the tenant and owner complete a property inspection. At move-out, a final joint inspection is completed. When the agreed conditions are satisfied, the deposit is released to the owner or returned to the tenant, after any agreed deductions.
Every stage is recorded, so there is a single, auditable account of how the deposit moved and why.
Your deposit is not handed to the owner to spend. It is held securely and returned at a satisfactory move-out, so a valid refund cannot simply be withheld.
If the property does not match the listing or written agreement, you can raise a dispute before release, and the funds remain in escrow while it is reviewed.

The deposit is released only when the agreed conditions are satisfied. This normally means the move-out inspection is complete and the tenant and owner have confirmed, or any dispute has been resolved.
On a clean move-out with no deductions, the deposit is returned to the tenant promptly after inspection. When there are legitimate deductions, the deducted amount goes to the owner and the balance is returned to the tenant.
If the tenancy continues, the deposit stays in escrow until the tenancy actually ends.
Owners may deduct from the deposit only for genuine damage beyond normal wear and tear, or for unpaid bills or arrears that are real and evidenced.
Normal wear and tear — such as light fading, minor scuffs, or ordinary day-to-day use — is not a valid deduction. Evidence is required before any amount is taken from the deposit.
HeavenLease encourages a joint, photographed move-out inspection so any deductions are transparent and agreed at the time of move-out.
If the parties cannot agree on releasing a deposit, either party can raise a dispute. The funds stay in escrow while it is investigated, and neither side can take the money on their own.
We invite evidence from both parties, such as photos, the signed agreement and written communication, and we review it fairly.
We aim to reach a clear, reasoned outcome within a defined number of business days and record the result so both parties have a full trail.
Escrow protection is provided as part of the standard lease process on HeavenLease. In some cases, a small documented processing fee may apply, and it is always shown clearly before you proceed.
We never add hidden fees to a tenant deposit or an owner's release. Where a fee exists it is stated separately and transparently.
Escrow does not take away the legal rights that tenants and owners would otherwise have. It makes the deposit reliable, traceable and equally accountable for both parties.
Both sides remain free to pursue a dispute through the courts or alternative processes where that is available, and the escrow records are preserved to support any such process.
We may update this policy from time to time to reflect how escrow is provided, or changes in technology or law. We will update the Last Updated date and notify you of meaningful changes.
For an active tenancy, the escrow terms in force at the time the tenancy began apply, and we will give you the opportunity to review before a change affects you.
